The Caller Experience Checklist

10 quick things to check on your own phone line. Most businesses have never actually called their own number and listened the way a new customer would.

  1. Call your own main line right now. Listen as if you're a stranger. What's the first thing you hear?
  2. Time your hold. If someone's on hold longer than a minute with nothing but silence or static, that's a real risk of a hang-up.
  3. Listen to your hold music or messaging. Is it generic stock audio, or does it actually sound like your brand?
  4. Check your greeting. Does it sound rushed, robotic, or inconsistent with how your business presents itself everywhere else?
  5. Count the menu options. If a caller has to listen through more than 3-4 options to find what they need, you're losing patience you can't get back.
  6. Ask: would a caller know they reached the right business? Your name should be clear and confident, not mumbled or missing.
  7. Notice the audio quality. Static, distortion, or a message that sounds recorded on a phone in a echoey room quietly undermines trust.
  8. Check consistency across locations or staff. If you have multiple lines or team members, do they all sound like the same business?
  9. Listen for what happens after hours. Is your voicemail or after-hours message as considered as your live greeting, or an afterthought?
  10. Ask yourself the real question: if this call were a new customer's very first impression of your business, would it match how good you actually are at what you do?
